Subscriptions

As a reseller, you control subscription plans for all your customer organizations. This guide covers plan management, billing, and subscription lifecycle.

Subscription Plans

Available Plan Tiers

Free Trial - Limited minutes (100-300), time-limited (14-30 days), all features enabled for evaluation

Starter Plan - Entry-level paid plan, moderate quota (500-1000 min/month), essential features, limited users

Professional Plan - Higher quota (2000-5000 min/month), advanced features (glossaries, custom models), more users

Enterprise Plan - Custom quotas, all features, unlimited users, priority support, custom integrations

Assigning Subscriptions

New Organization

Select plan, billing cycle (monthly/yearly), and usage quotas during organization creation.

Existing Organization

  1. Navigate to organization details
  2. Click Manage Subscription
  3. Select new plan
  4. Choose when change takes effect (immediately or next billing cycle)
  5. Review changes and click Update Subscription

Proration: Upgrades are charged prorated difference immediately. Downgrades credit next billing.

Billing Management

Billing Cycles

Monthly - Billed same day each month, more flexible Yearly - Typically discounted (e.g., 2 months free), better retention

Usage-Based Billing

Plans include base minutes. Overage charges apply for additional minutes beyond quota.

Example: Professional plan includes 3000 minutes. Customer uses 3500 minutes = 500 overage minutes × $0.10 = $50 additional.

Subscription Lifecycle

Trial Period

Set custom trial length (14, 30, 60 days). Notifications sent 7 days and 3 days before expiration. On expiration, access suspended with 7-day grace period to upgrade.

Active Subscription

Auto-renewal on billing cycle date. Payment processed automatically, invoice generated and sent.

Payment Failures

Retry schedule: immediate, 3 days, 7 days, 14 days. Grace period of 14 days with access, then account suspended. Data retained for 30 days.

Cancellation

Immediate - Access ends immediately, prorated refund if applicable End of Period - Access until billing cycle ends, no refund

Configure data retention when cancelling (delete immediately, retain 30/90 days, or indefinitely).
