Workspace Overview

Your Scriptix workspace is the central hub for managing all your sessions, transcripts, captions, and folders. This guide introduces the workspace interface and core capabilities.

What is the Workspace?

Central File Management:

  • View all your documents and folders in one place
  • Organize files with folder structures
  • Search and filter to find what you need
  • Navigate through folder hierarchies
  • Track processing status of sessions

Main Workspace Features:

  • Document grid view with sortable columns
  • Folder organization with nested support
  • Quick search by filename
  • Advanced filtering by status, language, date, type
  • Document actions (edit, export, share, delete)
  • Folder management (create, edit, move, delete, copy)

Accessing the Workspace

Navigation:

  1. After logging in, you land on the main workspace
  2. Access via navigation menu

What You See:

  • Data Grid - Table displaying all files and folders
  • Toolbar - Actions and controls
  • Breadcrumb Navigation - Current folder location
  • Search & Filters - Find specific items
  • Pagination - Navigate large collections

Workspace Layout

Available Controls:

  • Show Folders First toggle - Display folders before documents
  • Search Box - Filter by filename or folder name
  • Column sorting - Click headers to sort
  • Pagination - Navigate pages of results
  • Rows per page selector - Adjust display density

Status Indicators:

  • Finished (green chip) - Processing complete, ready to use
  • Processing (blue chip) - Currently being transcribed
  • Error (red chip) - Processing failed

Type Badges:

  • Transcript (purple chip) - Text-based transcription
  • Caption (orange chip) - Time-synchronized subtitles

Folder Navigation

Breadcrumb Trail:

  • Shows your current location in folder hierarchy
  • Click any folder in the path to navigate back
  • Example: Home / Projects / 2024 / Q1 Reports

Entering Folders:

  • Click on folder name or icon to open
  • Breadcrumbs update to show current location
  • Grid updates to show folder contents

Document Types

Transcripts

What They Are:

  • Text-based transcriptions of audio/video
  • Editable in the transcript editor
  • Support speaker identification
  • Can include timestamps

Visual Indicator:

  • Purple chip labeled "Transcript"

Actions Available:

  • Edit in transcript editor
  • Export (DOCX, TXT, PDF, HTML, templates)
  • Share via magic link
  • Rename
  • Move to folder
  • Delete

Captions

What They Are:

  • Time-synchronized subtitles
  • Segmented by time intervals
  • Editable in caption editor
  • Export in subtitle formats

Visual Indicator:

  • Orange chip labeled "Caption"

Actions Available:

  • Edit in caption editor
  • Export (SRT, VTT, SBV, TTML, STL, HTML)
  • Share via magic link
  • Rename
  • Move to folder
  • Delete

Folders

What They Are:

  • Organizational containers for documents
  • Can contain other folders (nested structure)
  • Support permission management
  • Can be shared or private

Visual Indicator:

  • Folder icon

Actions Available:

  • Open to view contents
  • Edit (rename and change permissions)
  • Copy folder structure
  • Move to another location
  • Delete (removes all contents)

Quick Actions Menu

Access:

  • Click the three-dot menu (...) at the end of each row

Common Actions:

For Documents:

  • Edit - Open in appropriate editor
  • Export - Download in various formats
  • Rename - Change document filename
  • Move - Relocate to different folder
  • Share - Generate magic link
  • Delete - Remove document

For Folders:

  • Open - View folder contents
  • Edit - Modify name and permissions
  • Copy - Duplicate folder structure
  • Move - Relocate folder
  • Delete - Remove folder and all contents

Clicking on Items

Single Click on Name/Icon:

  • Folders - Opens the folder
  • Finished Documents - Opens in editor (transcript or caption editor)
  • Processing Documents - Shows "document not ready" message
  • Error Documents - Shows error message, cannot open

Click on Other Columns:

  • Selects the row for actions
  • Enables action menu access

Sorting

How to Sort:

  1. Click column header to sort by that column
  2. Click again to reverse sort direction
  3. Visual indicator (arrow) shows current sort direction

Sortable Columns:

  • Icon & Name (alphabetical)
  • Status
  • Language
  • Date Upload
  • Last Modified

Default Sorting:

  • Last Modified (newest first) when "Show Folders First" is disabled
  • Shows recently modified files at top

Search & Filtering

Search Box:

  • Type filename or folder name
  • Results filter automatically as you type
  • Partial matching supported
  • Case-insensitive

Advanced Filtering: Available through column filters:

  • Status (Finished, Processing, Error)
  • Language
  • Type (Transcript, Caption)
  • Diarization (Yes, No)
  • Date ranges

Folder Organization

Show Folders First Toggle:

  • Enable to display all folders before documents
  • Disable to mix folders and documents by date
  • Helps with organization when you have many folders

Nested Folders:

  • Create folders inside folders
  • Navigate using breadcrumbs
  • Organize hierarchically by project, client, date, etc.

Pagination

Navigation:

  • Navigate between pages using pagination controls at bottom
  • Jump to specific pages
  • Rows per page selector controls items displayed

Display Options:

  • Choose how many items to display per page
  • More items = less page navigation
  • Fewer items = faster loading

Workspace Performance

Loading States:

  • Spinner while fetching data initially
  • Updates when navigating folders
  • Real-time status updates for processing documents

Data Management:

  • Grid automatically updates when documents are created or modified
  • Navigate between folders efficiently
  • Cached for faster subsequent access

Common Workflows

Find Recent Work

  1. Default view shows newest items first (when folders not prioritized)
  2. Look at "Last Modified" column
  3. Most recent updates appear at top
  1. Click into project folder from main workspace
  2. Use breadcrumbs to navigate back up
  3. Use "Show Folders First" to see all subfolders

Check Processing Status

  1. Look at Status column
  2. Green "Finished" = ready to use
  3. Blue "Processing" = still transcribing
  4. Red "Error" = needs attention

Open Document for Editing

  1. Click on document name or icon
  2. Editor opens automatically (transcript or caption)
  3. Edit and save changes

Organize with Folders

  1. Create new folder from toolbar
  2. Move documents into folders
  3. Create subfolders for deeper organization

Troubleshooting

Document Won't Open

Possible Causes:

  • Status is "Processing" - wait for completion
  • Status is "Error" - session failed, may need retry
  • Document was deleted

Solutions:

  • Wait for processing to complete
  • Check status column
  • Refresh workspace if status seems stuck

Can't Find Document

Possible Causes:

  • Document is in a folder
  • Search filters are active
  • Document was deleted or moved

Solutions:

  • Clear search box
  • Navigate to root workspace (click "Home" in breadcrumbs)
  • Check inside folders
  • Remove any active filters

Folder Appears Empty

Possible Causes:

  • Folder is actually empty
  • Filters are hiding contents
  • Permission issue

Solutions:

  • Clear all filters
  • Check if you have read permissions
  • Verify folder location is correct
