STT History
Speech-to-Text (STT) History tracks all your transcription sessions, providing detailed information about each processing job.
What is STT History?
Overview:
- Complete log of all transcription sessions
- Processing status for each session
- Session metadata (language, duration, timestamps)
- Admin users can delete sessions
Access STT History:
- Navigate to Speech-to-Text Sessions History from menu
- Route:
/speech-to-text-sessions

Data Grid Columns
Session Information Displayed:

Session Status Indicators
Visual Badges:
Finished (Green):
- Processing completed successfully
- Transcript/caption ready to use
- Can edit, export, or share
Processing (Blue):
- Transcription currently in progress
- Cannot edit yet
- Auto-refreshes when complete
Error (Red):
- Processing failed
- Requires attention
Filtering STT History
By Session ID
Purpose: Find specific session by exact ID
How to Use:
- Click filter icon on Session ID column
- Enter exact session ID
- Results show only that session
By Filename
Purpose: Search by original media filename
How to Use:
- Click filter icon on Filename column
- Type filename or part of filename
- Partial matches work
- Case-insensitive search
Example:
Search: "interview"
Finds:
- "CEO-Interview-2024.mp3"
- "interview-notes.wav"
By Status
Purpose: Show sessions by processing state
Options:
- Finished - Processing complete
- Processing - Currently being transcribed
- Error - Processing failed
How to Use:
- Click filter icon on Status column
- Select status from dropdown
- Grid shows only matching items
Use Cases:
- View completed work: Select "Finished"
- Check active jobs: Select "Processing"
- Find failed sessions: Select "Error"
By Language
Purpose: Show sessions in specific languages
How to Use:
- Click filter icon on Language column
- Type language name or code
- Examples: "English", "en", "French", "fr"
- Auto-converts to language code for search
Supported Languages:
- English, French, German, Dutch, Spanish, Italian, Portuguese, and more
Sorting Results
Sortable Columns
Click column header to sort:
- Session ID - Numeric order
- Filename - Alphabetical
- Status - By status type
- Language - Alphabetical
- Date Session Start - Oldest/Newest first
- Last Update - Least/Most recent
Sort Direction
How It Works:
- First click - Sort ascending (↑)
- Second click - Sort descending (↓)
- Arrow indicates current direction
Combining Filters
Multi-Filter Search:
- Apply multiple filters simultaneously
- All conditions must match
- Narrows results progressively
Example 1: Completed English Sessions
Filters:
- Status: Finished
- Language: English
Example 2: Failed Sessions
Filters:
- Status: Error
- Filename: [specific project name]
Managing STT Sessions
Refreshing Session List
Manual Refresh:
- Click "Refresh Sessions" button in toolbar
- Grid updates with latest status
- Shows real-time status changes
When to Refresh:
- After uploading new file
- To check if processing finished
- To see latest updates
Deleting Sessions (Admin Only)
Admin/Sysop users can delete sessions:
How to Delete:
- Click three-dot menu (⋮) on session row
- Select "Delete"
- Confirm deletion in dialog
- Session removed permanently
What Gets Deleted:
- Session record
- Associated transcripts/captions
- All document versions
Cannot Be Undone:
- Permanent deletion
- Export documents first if needed
Note: Only users with admin or sysop roles can delete sessions.
Session Details
Session ID
What It Is:
- Unique identifier for each transcription job
- Never changes
- Used for tracking and support requests
Date Session Start
Shows:
- When media file was uploaded
- When processing began
- Uses your organization's timezone
Last Update
Shows:
- Most recent activity on session
- Updates when:
- Processing status changes
- Document edited
- Metadata updated
Duration
Format: HH:MM:SS
Examples:
00:05:30(5 minutes, 30 seconds)00:45:00(45 minutes)02:30:15(2 hours, 30 minutes, 15 seconds)
Pagination
Navigate Results:
- Results display in pages
- Use pagination controls at bottom
- Page size options available
- Total count shows all sessions
Session Status Details
Finished Status
Meaning:
- Transcription completed successfully
- Document ready for editing
- Can export, share, or convert
Next Steps:
- Open in editor to review/edit
- Export in desired format
- Share with team members
Processing Status
Meaning:
- Transcription actively running
- Cannot edit or export yet
- Check back later or refresh
Error Status
Meaning:
- Processing failed
- Session requires attention
- Check error details if available
What to Do:
- Check file quality
- Re-upload file if needed
- Contact support with Session ID if issue persists
Best Practices
Regular Monitoring
Weekly Review:
- Check for error sessions
- Delete unnecessary sessions (admin only)
- Export completed work
Session Organization
Naming Convention:
- Use descriptive filenames before upload
- Include date, client, topic in filename
- Easier to find sessions later
