Search & Filter

Finding the right file quickly is essential for productivity. This guide covers all search and filtering capabilities in your Scriptix workspace.

Search Basics

Location: Search box in top-right of workspace toolbar

How to Use:

  1. Click search box
  2. Type filename or folder name
  3. Results filter automatically as you type
  4. Clear search to see all files again

What It Searches:

  • Document names
  • Folder names
  • Partial matches (searches anywhere in name)
  • Case-insensitive

Examples:

Search: "interview"
Finds:
- "CEO Interview Transcript"
- "interview-2024-01-15.mp3"
- "Product Interview Notes"

Search: "2024"
Finds:
- "2024 Q1 Reports"
- "Meeting 2024-03-22"
- Folder: "2024"

Advanced Filtering

Available Filters

Access filters by clicking column headers or using the filter toolbar.

Status Filter

Purpose: Focus on documents based on processing state

Options:

  • Finished - Processing complete, ready to use
  • Processing - Currently being transcribed
  • Error - Processing failed, needs attention

Use Cases:

  • View only completed work: Select "Finished"
  • Check what's still processing: Select "Processing"
  • Find failed sessions to retry: Select "Error"

How to Apply:

  1. Click Status column header
  2. Select status from dropdown
  3. Grid updates to show only matching items

Language Filter

Purpose: Show documents in specific languages

How It Works:

  • Type language name or code
  • Examples: "English", "en", "French", "fr"
  • Auto-converts to language code for search

Supported Languages:

  • English (en)
  • French (fr)
  • German (de)
  • Dutch (nl)
  • Spanish (es)
  • Italian (it)
  • Portuguese (pt)
  • And many more...

Example:

Filter: Language = "en"
Shows: All English transcripts and captions

Date Range Filter

Purpose: Find files created or updated within specific timeframe

Two Date Fields:

  • Date From - Start of date range (inclusive)
  • Date To - End of date range (inclusive)

How to Use:

  1. Click Date Session Start column filter
  2. Enter "Date From" - earliest date to include
  3. Enter "Date To" - latest date to include
  4. Apply filter

Date Format:

  • Accepts: YYYY-MM-DD, MM/DD/YYYY, or date picker
  • Example: "2024-01-01" to "2024-03-31" for Q1 2024

Use Cases:

  • Find last month's work
  • Locate files from specific project period
  • Review recent activity (last week, last 30 days)
  • Audit historical files

Examples:

Q1 2024 Files:
Date From: 2024-01-01
Date To: 2024-03-31

Last Week:
Date From: [7 days ago]
Date To: [today]

Specific Day:
Date From: 2024-06-15
Date To: 2024-06-15

Type Filter

Purpose: Show only transcripts or only captions

Options:

  • Transcript - Text-based transcriptions
  • Caption - Time-synchronized subtitles
  • Alignment - Special alignment documents (if applicable)

How to Use:

  1. Look for Type column
  2. Click to filter by type
  3. Select desired document type

Use Cases:

  • Export all transcripts in batch
  • Focus on caption work
  • Separate workflows by document type

Diarization Filter

Purpose: Filter by speaker identification

Options:

  • Yes - Documents with speaker diarization enabled
  • No - Documents without speaker identification

Use Cases:

  • Find multi-speaker interviews
  • Locate single-speaker recordings
  • Review speaker identification quality

Finalized Filter

Purpose: Distinguish between editable and final documents

Options:

  • Finalized - Documents marked as complete (read-only)
  • Editable - Documents still being edited

Use Cases:

  • Find work-in-progress items
  • Locate approved/final versions
  • Separate drafts from deliverables

Combining Filters

How It Works:

  • Apply multiple filters simultaneously
  • All conditions must match (AND logic)
  • Narrows results progressively

Example 1: Find Specific Work

Filters:
- Status: Finished
- Language: English
- Date From: 2024-01-01
- Type: Transcript

Result: All completed English transcripts from 2024

Example 2: Review Failed Sessions

Filters:
- Status: Error
- Language: French
- Date From: [last week]

Result: All failed French processing jobs from last week

Example 3: Multi-Speaker Projects

Filters:
- Status: Finished
- Diarization: Yes
- Finalized: No

Result: Completed multi-speaker documents still being edited

Clearing Filters

Remove Individual Filter:

  • Click filter field
  • Delete value or select "All"
  • Filter removed, results expand

Clear All Filters:

  • Click "Clear Filters" button (if available)
  • Or manually clear each filter field
  • Or reload page

Sorting Results

Sortable Columns

Click column header to sort:

Sort Direction

How It Works:

  1. First click - Sort ascending (↑)
  2. Second click - Sort descending (↓)
  3. Third click - Remove sort (back to default)

Visual Indicator:

  • Arrow (↑) = Ascending
  • Arrow (↓) = Descending
  • No arrow = Default sorting

Default Sort:

  • Last Update (newest first)
  • Shows most recently modified files at top

Sorting + Filtering

Combined Use:

  • Apply filters first to narrow results
  • Then sort filtered results
  • Example: Filter by "Finished" status, sort by "Date" to see newest completed work

Search Best Practices

Effective Naming for Searchability

Include Key Information in Filenames:

  • Date (YYYY-MM-DD format)
  • Project or client name
  • Content type or topic
  • Version number (if applicable)

Examples:

✅ Good filenames:
- "2024-03-15-CEO-Interview-Transcript"
- "Product-Launch-Q1-2024-Caption"
- "Client-Acme-Meeting-Notes-v2"

❌ Poor filenames:
- "Untitled"
- "Document1"
- "final-final-FINAL"

Strategy:

  • Organize files in folders by project/client
  • Use search within specific folder
  • Combine folder navigation with filters
  • Breadcrumb trail shows search context

Workflow:

  1. Navigate to relevant folder (e.g., "Client A")
  2. Apply search/filters within that folder
  3. Results limited to current folder and subfolders

Regular Search Patterns

Save Time with Common Searches:

Find Recent Work:

  • Sort by "Last Update" (descending)
  • No filters needed

Check Processing Status:

  • Filter: Status = "Processing"
  • Shows current active jobs

Review Errors:

  • Filter: Status = "Error"
  • Date range = last 7 days
  • Fix failed sessions

Client-Specific Files:

  • Search: "[Client Name]"
  • Or navigate to client folder
  • Filter by date range for specific period

Language-Specific Review:

  • Filter: Language = "de" (German)
  • Filter: Finalized = "No"
  • Review German drafts for final approval

Search Performance

Large File Collections

Pagination:

  • Results display in pages (25, 50, 75, or 100 per page)
  • Increase "Rows Per Page" to see more results
  • Navigate pages with pagination controls

Server-Side Filtering:

  • Filters applied on server (not client-side)
  • Fast performance even with thousands of files
  • Results load quickly

Search Optimization:

  • More specific searches = faster results
  • Combine filters to narrow scope
  • Use date ranges to limit search window

Troubleshooting Search Issues

No Results Found

Possible Causes:

  1. Too Many Filters - Over-filtering excluded all items
  2. Spelling Error - Filename doesn't match search term
  3. Wrong Folder - Searching in incorrect location
  4. Incorrect Date Range - No files in specified period

Solutions:

  • Clear all filters and try again
  • Check spelling of search term
  • Navigate to root workspace ("Home")
  • Expand date range
  • Try searching just part of filename

Search Not Working

Possible Issues:

  1. Search Box Empty - No search term entered
  2. Filter Not Applied - Didn't click "Apply" or press Enter
  3. Cache Issue - Old data displayed

Solutions:

  • Type search term and press Enter
  • Click filter field and select option
  • Refresh page to reload data
  • Clear browser cache if persistent

Wrong Results Appearing

Common Causes:

  1. Partial Match - Search finds substring in filename
  2. Multiple Filters Active - Forgot about previous filter
  3. Folder Context - Searching within subfolder only

Solutions:

  • Use more specific search terms
  • Review active filters (check column headers)
  • Navigate to root workspace for global search
  • Use quotes for exact match (if supported)

Advanced Search Tips

Wildcard Searches

Partial Matching:

  • Automatic substring matching
  • Search "interview" finds "CEO-Interview-2024" and "Interviews-Q1"

Case Insensitivity:

  • "INTERVIEW", "Interview", "interview" all match same files

Search Shortcuts

Keyboard:

  • Press / to focus search box (if supported)
  • Esc to clear search
  • Enter to apply search

Mouse:

  • Click column header for quick filter
  • Right-click for context menu with filter options

Saving Search Results

Export Filtered Results:

  1. Apply filters to narrow to desired files
  2. Select all filtered items (checkbox in header)
  3. Use batch export operation
  4. Download all matching files in chosen format

Use Case:

  • Export all Q1 2024 English transcripts as DOCX files
  • Batch download client-specific captions

Search Workflow Examples

Scenario 1: Find Last Week's Work

Steps:

  1. Sort by "Last Update" (descending)
  2. Filter Date To: [today], Date From: [7 days ago]
  3. Review top results

Result: All files modified in last week

Scenario 2: Locate Specific Client File

Steps:

  1. Navigate to client folder
  2. Search for keyword (e.g., "Q1 report")
  3. Filter by Type: Transcript
  4. Sort by Date (newest first)

Result: Most recent Q1 report transcript for client

Scenario 3: Audit Failed Processing

Steps:

  1. Filter Status: Error
  2. Filter Language: [specific language if needed]
  3. Sort by Date Session Start (oldest first)
  4. Review and retry failed sessions

Result: Identify oldest failures to address first

Scenario 4: Prepare Monthly Export

Steps:

  1. Filter Date From: 2024-03-01, Date To: 2024-03-31
  2. Filter Status: Finished
  3. Filter Type: Transcript
  4. Select all matching items
  5. Batch export in desired format
