Sharing Overview

What is Document Sharing?

Scriptix allows you to share documents with anyone via magic links:

Magic Links:

  • Shareable URLs that provide access to your documents
  • No Scriptix account required for recipients
  • Can be sent via email or shared directly
  • Generated from the editor interface

Use Cases:

  • Share completed transcripts with clients
  • Provide access for review without requiring account creation
  • Collaborate with external stakeholders
  • Deliver finished work professionally

Magic links are secure, shareable URLs that allow anyone to access your document:

  • No account required - Recipients can view without signing up
  • Simple access - Click link to view document
  • Document must be finalized - Only finalized documents can generate magic links
  • Shareable - Copy link or send via email

From Transcript or Caption Editor:

  1. Open your document in the editor
  2. Finalize the document - Toggle the "Editable/Finalized" switch to "Finalized"
    • Documents must be finalized before sharing
    • Finalization prevents further editing
    • Ensures recipients see the final version
  3. Click "Magic Link" button in the toolbar
  4. Link is automatically generated
  5. Copy the link or send via email

Requirements:

  • Document must be in "Finalized" status
  • You must be viewing the document in the editor
  • Document must belong to your session

Send via Email

After generating a magic link, you can send it directly to recipients:

  1. Click "Magic Link" button (link already generated)
  2. Click "Send via Email" or similar email option
  3. Enter email addresses:
    • Type email addresses
    • Separate multiple emails with commas or newlines
    • No limit on number of recipients
  4. Add optional message (up to 500 characters)
    • Provide context about the document
    • Include instructions or deadline
    • Personal note to recipients
  5. Click "Send"
  6. Recipients receive email with link

What Recipients Receive:

  • Email with your custom message (if provided)
  • Link to access the document
  • Instructions for viewing
  • No password or account required

Alternative to email sending:

  1. Generate magic link as described above
  2. Copy link using the copy button
  3. Share the link however you prefer:
    • Paste into email client
    • Share in chat or messaging apps
    • Include in project management tools
    • Add to documentation

Accessing Shared Documents

For Recipients

Viewing a Shared Document:

  1. Click the magic link (in email or shared by sender)
  2. Document opens in browser
  3. View the transcript or caption
  4. No login required

What Recipients Can Do:

  • Read the entire document
  • View speaker labels (if included in transcript)
  • See timestamps (if included)
  • Navigate through the document
  • Access depends on document type (transcript vs caption)

What Recipients Cannot Do:

  • Edit the document (finalized documents are read-only via magic links)
  • Change sharing settings
  • Access other documents in your workspace
  • See private information about your account

Finalization Requirements

Why Finalize?

Documents must be finalized before generating magic links:

Finalization:

  • Marks document as complete
  • Prevents accidental edits
  • Ensures recipients see final version
  • Required for magic link generation

How to Finalize

In the Editor:

  1. Complete all edits to your document
  2. Review for accuracy
  3. Locate the "Editable/Finalized" toggle in toolbar
  4. Click to switch from "Editable" to "Finalized"
  5. Document is now finalized and ready to share

Toggle Back:

  • If you need to edit after finalizing
  • Switch toggle back to "Editable"
  • Make your changes
  • Re-finalize when complete
  • Note: Existing magic links remain valid

Comments (Transcript Editor Only)

Comment System

The transcript editor includes a comment system for collaboration:

Features:

  • Add comments to specific sections of transcript
  • Edit your own comments
  • Delete your own comments
  • View comments history in sidebar panel

Adding Comments:

  1. Open transcript in editor
  2. Navigate to section you want to comment on
  3. Use comment feature in editor
  4. Type your comment
  5. Save comment

Managing Comments:

View Comments:

  • Comments history panel (if available in editor)
  • Shows all comments on document
  • Displays comment text, author, timestamp

Edit Comments:

  • Click edit button on your comment
  • Modify text
  • Save changes

Delete Comments:

  • Click delete button on your comment
  • Confirm deletion
  • Comment removed permanently

Note: Comments are for internal collaboration and are NOT included when exporting documents.

Best Practices

Before Sharing

Review Your Document:

  • Complete all edits
  • Fix any errors
  • Verify speaker labels (transcripts)
  • Check timing accuracy (captions)
  • Ensure all content is correct

Finalize:

  • Switch to "Finalized" status
  • Double-check document is ready
  • Cannot be edited via magic link once shared

Prepare Recipients:

  • Let them know a link is coming
  • Provide context about the content
  • Set expectations for review or feedback

When Sharing

Via Email:

  • Use the built-in email feature for convenience
  • Add a clear, helpful message
  • Include any relevant context or instructions
  • Mention deadline if applicable

Via Link Copy:

  • Copy link accurately (don't modify)
  • Test link before sending to ensure it works
  • Provide context when sharing the link

Security Considerations

Be Aware:

  • Anyone with the link can access the document
  • No password protection available
  • Links don't expire automatically
  • Consider sensitivity of content before sharing

Recommendations:

  • Only share via secure channels
  • Don't post magic links publicly
  • Share only with intended recipients
  • Use email sharing for sensitive documents (more controlled)

Troubleshooting

Problem: Magic Link button doesn't work or link doesn't generate

Possible Causes:

  • Document is not finalized
  • Not in editor view
  • Network issue

Solutions:

  • Toggle document to "Finalized" status
  • Ensure you're viewing document in editor
  • Refresh page and try again
  • Check internet connection

Problem: Recipients report link doesn't work

Possible Causes:

  • Link copied incorrectly
  • Document was deleted
  • Session no longer exists
  • Network/browser issue for recipient

Solutions:

  • Regenerate and resend link
  • Verify document still exists
  • Ask recipient to try different browser
  • Check recipient's internet connection

Email Not Received

Problem: Recipients didn't receive the magic link email

Possible Causes:

  • Email in spam/junk folder
  • Incorrect email address
  • Email delivery delay

Solutions:

  • Ask recipient to check spam folder
  • Verify email addresses are correct
  • Wait a few minutes for delivery
  • Re-send the email
  • Try copying link and sending via your own email client

Q: Do recipients need a Scriptix account? A: No, magic links work for anyone with the link, no account required.

Q: Can I password-protect a magic link? A: Password protection is not currently available for magic links.

Q: Do magic links expire? A: Magic links do not automatically expire. They remain active as long as the document exists.

Q: Can I revoke a magic link after sharing? A: Direct revocation is not available through the UI. The link remains active while the document exists.

Q: Can recipients edit the document? A: No, documents shared via magic links are read-only for recipients.

Q: Will comments be visible to magic link recipients? A: Comments are for internal use and are not included in magic link views or exports.

Q: Can I track who viewed my magic link? A: Viewing analytics for magic links are not currently available in the interface.

Q: What happens if I delete the document? A: The magic link will no longer work if the document is deleted.

Q: Can I share captions and transcripts the same way? A: Yes, both document types use the same magic link sharing process.
