Admin Guide

The system administrator manages organizations, users, plans, and system settings through the admin UI.

Accessing the Admin Panel

Log in with the admin account created during installation. The admin panel is available under Settings in the top navigation.

Organizations

Creating an Organization

  1. Go to Settings > Organizations
  2. Click Create Organization
  3. Fill in: name, contact email
  4. The organization receives a default transcription plan

Organization Limits

Your license controls how many organizations you can create. You can check current usage in Settings > License.

Viewing Usage

Each organization has usage stats available in Settings > Organizations > [Org Name]: total sessions, minutes transcribed, and storage used.

Users

Inviting a User

  1. Go to Settings > Organizations > [Org Name] > Users
  2. Click Invite User
  3. Enter email and select role:
    • Admin — full access to org settings and all sessions
    • Customer — standard user, can upload and manage own sessions
    • Contributor — can edit shared sessions but not upload

Resetting a Password

Administrators can reset user passwords from Settings > Organizations > [Org Name] > Users. Select the user and click Reset Password. Instruct the user to change their password after logging in.

Deactivating a User

Deactivating a user prevents login but preserves their data. Go to Settings > Organizations > [Org Name] > Users, select the user, and click Deactivate.

Plans and Subscriptions

Default Plan

A default on-prem plan is created automatically during setup. It includes unlimited transcription for the organization.

Custom Plans

Custom plans with specific transcription limits can be created and assigned to organizations. Contact the Scriptix team for assistance with plan configuration.

System Settings

Configurable Settings

The following settings can be managed from Settings > System:

Monitoring

Dashboard

The admin dashboard at Settings > Dashboard provides an overview of system health, including active jobs, queue depth, recent sessions, storage usage, and database stats.

Managing Failed Sessions

Failed or stuck sessions can be reviewed and retried from the admin dashboard. You can retry individual sessions or bulk-retry all stranded sessions.

Languages

The model cache includes alignment models for 30+ languages. Languages are seeded automatically at startup. Available languages can be viewed in Settings > Languages.

Backup and Restore

For backup and restore procedures, consult your system administrator. The Scriptix team can provide guidance on database backups, object storage backups, and disaster recovery planning.
